Responsibilities (include but not limited to):
Face and Places Assignment. Monthly walk thru of all Mark Center offices and suites to update seat assignments chart in AutoCAD (commercial software application for design and drafting) or produce other database reports.
Moves. Assist with coordinating individual, office, and restack moves. Enter requests into ticketing system.
Furniture and Equipment. Coordinate with space managers, furniture vendors, and action officers to Mark Center visit for maintenance, repairs, and presentations. Submit visitor parking requests and request clearances for deliveries and installs. Keep log and update repair list.
Catalog all furniture and equipment related issues by monitoring shared facilities mailbox (e-mail); distribute issues to the appropriate space manager, receive space services requests; enter requests into the ticketing system.
Set up and inventory furniture. Survey furniture and equipment for maintenance or
disposal. Manage furniture keys and identify lost keys and place orders to replace missing keys.
Furniture orders follow up. Manage suite signage.
Customer Service. Grant customers and maintenance personnel suite access; monitor sign-in roster and electronic lock box. Respond to e-mails, approval requests, telephone calls (to include central facilities phone line), customer visits, or correspondence pertaining to furniture and space management support to the Office of Inspector General (OIG). Assist with employee out-processing activities (e.g., key turn in).
Coordinate maintenance personnel visits to OIG-controlled space; escort maintenance visitors in OIG-controlled space. Monitor maintenance calls at Mark Center.
Coordinate with vendors to maintain up-to-date catalog books and samples. Focal point for safe and lock maintenance and installs.
Ticketing System for Work Requests. Enter requests and maintain accurate records of project work orders. Run reports and distribute to space managers.
Maintain Mark Center suite and field office point-of-contract list.
Provide support to Mark Center parking program. Process temporary and visitor clearance requests and assist with permit issuance.
Job Specific Knowledge/Requirements:
Bachelor’s degree in Business Administration, Facilities Technology, Facilities Management, Facilities Maintenance, or a related field.
Experience with commercial property management.
Experience with commercial or corporate facilities maintenance.
Experience coordinating and managing vendors and contractors for commercial work.
